Any time a presentation calls for the delivery of pre-written, detailed information within specific time frames, it’s time to use a teleprompter.

Also known as auto-cues or simply prompters, many types of television programs use these such as news and weather reports, game shows, scripted commercials and even documentaries and life style programs.

They’re also commonly used in non-broadcast video work where professionals need to record messages to associates, employees or prospective clients.

Owing to their ease of use and professional appearance, you often see them applied for live stage presentations such as award ceremonies, conferences, special even launches and aiding keynote speakers.

Anybody new to using a teleprompter tends be apprehensive. New users can feel discomfort, nervousness or even drowsiness. Some new presenters can even come across as appearing dishonest.

This article is a summary of what to expect on a video production and the best ways to get professional results by using a teleprompter during your next presentation.

Scripting for Success

Your presentation starts with the script. All your information and content is in the script. Designing your script to be spoken out loud is the key to a polished presentation.

Scripts can be delivered to the teleprompter operators in just about any word processing format for PC or Mac, typically via email. Just make sure to get your script out in good time.

Use contracted words whenever possible, because that’s what most people do when they’re speaking. Always look to keep your sentences short.

Your script should only contain text. No charts, images emphasis or highlighting of any description. Only text to be read out loud should be a part of your script.

If your presentation calls for visual aids, confine these to graphics that can be displayed to your audience.

Your production company will check the script and do some basic editing so the text reads clearly on the teleprompter monitor. Don’t overwhelm the auto-cue operator with masses of information or storyboards. This might well result in excess editing time and some pretty hefty fees. Keep it simple. Just provide the script!

Dressed for Success

After your script is finalized, it’s time to take a look at some of the visual elements of your presentation, namely, how you will look on video.

A script is most often written with a particular audience in mind, so dress accordingly.

Unless there is some theatrical ingredient to your presentation, presenters should usually dress in clothes they feel relaxed in that also fits the tone of the subject matter they are delivering.

It’s best to avoid strong, vivid reds and whites as they don’t flatter skin tones and they often copy poorly onto video.

Pinstripes, hound’s-tooth and any other patterns with very fine lines can also be distracting.

Makeup is used for both cosmetic and technical reasons . . . hiding blemishes is one thing but lights used in both video and stage environments are bright, harsh and hot, so makeup is often used to remove the shiny spots on the T of the face caused by the heat (and sometimes by nerves).

All that counts in video and stage projects is the end result. In these strange habitats, the final product is more important than the actual production stages, so don’t feel overly self conscious if the production company makes changes to your wardrobe or insist you need makeup.

Your producer should have given you more specific advice about what to wear and how to look your best, depending on the project.

On Location

Whether shooting in a studio, an office or in a street environment, one basic rule applies at all times. Safety first.

Check for loose cabling on the floors, overhead rigging, light stands and any other props in potentially hazardous positions.

The lights are not only bright, they usually burn very hot . . . so don’t touch!

Upon arrival, the Director will fill you in with all the details on how the set is actually set up and make all the crew introductions.

If you will be using a teleprompter, there will usually be a minimum of four production crew members. A sound operator, a camera operator, the Director and last but not least, the teleprompter operator.

Most of the technical work will be done before you arrive on set and after the shoot has finished.

First port of call will be wardrobe and makeup. If you have any changes or additions to the script though, make sure the teleprompter operator gets these as quickly as possible.

The teleprompter’s main job is turning a screen of computer output into a smooth, scrolling page of text to project into your monitor. Teleprompters only have very basic editing functions, so the more time the operator has to make additions, the better. Individual words are fairly straightforward to edit, but if you need to add new segments or whole pages, then that new addition has to be physically entered, whether typed or copied from a source.

When the set is ready, the script is ready and you are ready, grab a glass of water (not too cold) and when the Director says “3-2-1″ . . . it’s time for the action to start.

Lights, Camera, ACTION!

People will usually begin to fuss as you make your way to the camera . . . it’s best to let them get on with things.

You probably won’t get much feedback from the teleprompter operator unless any alterations are required during your pre-read.

When you look at the screen you’ll soon see why bullet points and other formatting are bad in this context - they’d use up a lot of screen space.

During rehearsal and the shoot itself, the Director is in charge of directing your performance. The teleprompter operator will step in with an overview of the cue if time allows though.

Teleprompting 101: Preparing For Your First Teleprompter Presentation

Using a teleprompter is straightforward and the end result both professional and accurate, making their use popular for video presentations, award ceremonies, live conferences, product launches and increasingly as live note holders for public speakers.

However new users are often apprehensive. Newcomers may experience discomfort, nervousness or even drowsiness. Some new presenters can even come across as appearing dishonest.

This article is a summary of what to expect on a video production and the best ways to get professional results by using a teleprompter during your next presentation.

Word Smithing

Your presentation starts at the script. All your information and content is in the script. Designing your script to be spoken out loud is the key to a successful presentation. You can supply it to the auto cue operator in any word processing format, Mac or PC, preferably emailed to the production company ahead of time.

Use shorter sentences whenever possible and always try to use the contracted form of words, to better mimic the way people speak and give your delivery a more natural flow. Your auto cue script should only contain the text to be read. No bullet points, indents, tables, charts, borders, scene directions . . . just your monologue. If you need graphical aids, use screen graphics that can be displayed to your audience.

The auto cue operator will review the script and do some basic preparation so the lines read clearly on the auto cue screen. Keep in mind that if a lot of retouching is needed before the shoot day, a fee may be applied to cover editing time. So don’t send the auto cue operator a fully laid out storyboard . . . just send the speech!

Dress for Success

Once your script is done, it’s time to take a look at some of the more basic ingredients of your presentation.

When you arrive at, the Director will get you up to speed with how the set up is going and introduce you to the crew. For a shoot involving the use of a teleprompter, the crew will typically be made up of at least four people. The teleprompter operator, the sound operator, the camera operator and the Director. The bulk of the technical work will be done before you get there and after the shoot is over.

First port of call will be wardrobe and makeup. If you have any alterations or additions to the script though, make sure the teleprompter operator is aware of these as soon as possible.

The key feature of the teleprompter is to take a screen of text from a computer and project a smooth scrolling page of text onto a screen. Editing functions are limited, so allow the operator plenty of time to make any required edits. For single, this is quite easy to do. If new pages need to be added though, it takes time to either type these out or copy from a file.

When all the text is in place and you’re ready to go, grab a glass of water (not too cold) and get ready for the Director’s “3-2-1 . . . ACTION!”

Rolling, ACTION!

People will usually begin to fuss as you make your way to the camera . . . best to let them get on with it. You probably won’t hear that much from your auto cue operator unless he makes some alterations during your pre-read.

The Director is in charge of directing your presentation during the rehearsals and the final shoot. If time allows however, the teleprompter operator will often provide a general overview of the cue.

Here are the 5 main points to be aware of during your presentation:

1. Try the Script

You should always be given a pre-read of the script on the actual teleprompter during the rehearsal. Occasionally you’ll find words that normally run together being split to span over two pages to assist the delivery. Sometimes the opposite makes more sense. Written text normally spans 8-15 words on each line. In this medium however, the usual span is 3-5 words per line.

It’s an altogether different reading pace and you need to get used to it. It’s the teleprompter operator’s job to assist with the readability options.

2. Keep to Your Own Speed

The teleprompter operator will react to your delivery, constantly refining the scroll speed to match your reading speed. If you speed up, the auto cue speeds up. Slow down, the auto cue slows down.

3. Hold Eye Contact

This is something that needs practice, and/or a lot of takes to perfect. Until the Director tell you anything different, before the take starts, during the take and after it ends, just keep looking directly at the camera. That is of course unless you’ve mastered the process.

Eye movements are more crucial, the closer the shot is. Eye movements away from your audience make you look either uneasy or slightly dishonest. The only time you can really look away from the screen is when the Director says ‘cut’.

Most people won’t even know they are looking away from the camera. Turn away during an edit point in the script and the take will have to be re-done.

It’s ok to blink though!

4. Keep still

People very rarely stand totally still, often rocking from side to side of shuffling their feet. This is a perfectly natural movement but isn’t really the best thing to do during a shoot. It makes you look uncomfortable or distracted . . . which, if you’re rocking, then you are. It’s a bit like the eye contact and body movement discussed earlier on. Animated gestures in a production are fine as part of our communication is based on movement. Awkward looking swaying or shuffling aren’t.

As you get to start of the take, spend a few moments warming up. Stretches, bends, jumps. Anything to shake out your fatigue. The aim is to be both mentally and physically prepared. If the warm up still won’t keep you still, ask for a pedestal to rest one foot on or even make your presentation sitting down.

5. Value the Message

This may sound a little cheesy, but don’t just read your message . . . value the script! Remember, the script is a message that’s important. On some occasions you may not like what you’re saying, but you have to believe in the script. Use gestures, insert stresses too your presentation, don’t be monotonous . . . practice in front of a mirror!

All the information you will need is in the script and it’s crafted to get a clear massage across. Make the audience understand how important that message really is.

The Finished Product

So you’ve finished your recording and it’s time to see the finished product. The first thing you’ll confront when watching the tape is vanity. Don’t worry . . . it happens to everybody.

You might think you sound strange. You might think you look weird. The reason for this reaction is simple . . . you are used to seeing a reflected image of yourself rather than how everyone really sees you. Seeing your left side where your right side normally appears and vice versa is strange.

Some camera angles can also distort your appearance. You might fool yourself into thinking you look unwell or have put on weight. Giving polished presentations involves self criticism. Not negativity, but constructive criticism. Go over your performance and try to rectify any distracting or awkward habits.

Don’t split hairs here. Your concern is to make a sincere, polished presentation. You usually find that around the eyes. Are you mesmerized by the scrolling text, or speaking lifelessly? Are you a rocker? Are you maintaining eye line?

It’s all about getting an appreciation of your own performance. More importantly, do you look like you believe what you are saying? Business leaders from all industries realize the importance of an effective, personal and likeable communication style, yet public speaking is a major stepping stone for many of us.

To help overcome this problem you should ensure that you are standing in the correct putting stance and are looking straight down at the top of your ball. If you are not looking directly down, you are likely to miss the appropriate hit and your ball will veer off in an undesirable direction. Only look straight down at the ball when you actually putt and you will be looking at a much greater chance of actually hitting the ball into the hole without having to continuously putt and putt again.

Many new golfers also tend to have a problem with the ball going into the sides of the green, rather than straight ahead. While this may seem like a very complicated problem to correct, it is actually quite simple with a bit of patience. The first thing you always need to keep in mind is your stance. If you are not standing appropriately before you even swing the club, you do not stand a chance of a successful stroke. You need to ensure that you are taking the time to carefully analyze your stance before you ever swing, if you notice that your club is not squarely touching the ball then you may need to back up a bit to ensure that you are not hitting the ball from the side of the club. This is one of the biggest things that will throw a ball off line. Ensuring a solid, square swing will help your ball go to the desired location with a bit of practice.

Hooking and slicing are two of the major flaws that strikes at most beginners. This is something that can be quite difficult to correct as well. Some people stand incorrectly which causes the ball to hook, while others are gripping the club too firmly}, causing the clubhead to hit the ball the wrong way. Regardless of your problem, taking a close look at your stance, as well as ensuring that you are not gripping the club too tightly should be quite helpful in correcting a hooked ball. Of course, once you have started making adjustments to your stance or even your grip, you need to practice a lot more to improve your skills.

Bridges
Brisbane has two relatively new bridges. The Goodwill Bridge connects the Botanical Gardens and Queensland University of Technology (QUT) to Southbank. This bridge was named after the Goodwill Games hosted by Brisbane in 2001.

The Kurilpa Bridge opened in 2009 and links Roma Street Parkland to QPAC (Queensland Performing Arts Centre), the Queensland Art Gallery and GOMA (Gallery of Modern Art). Kurilpa is the Aboriginal word for West End and means “the place for water rats”.

Both bridges have a reasonable amount of shade and are architecturally significant in their own right. It is a matter of time before the Kurilpa Bridge is nicknamed the Spiderweb.

Southbank - Botanical Gardens - Roma Street Parkland

Starting in Albert Street, walk down to the Botanical Gardens in Alice Street and explore the lakes and forests, or walk along the river through the mangroves. Walk up the hill through QUT and across the Goodwill Bridge as you admire the Brisbane River and city skyline. At Southbank you can walk through the 17 hectares of sub-tropical landscaped gardens and rainforest, swim in the city beach while enjoying the stunning CBD and river views. Walk along the Southbank Arbour, a spectacular steel framed structure constructed to support the bougainvillea vines which provide continuous shade. After crossing the Kurilpa Bridge, you will find the lush Roma Street Parkland. Roma Street Parkland is an oasis in the heart of Brisbane’s CBD, set over 16 hectares of green space and is the largest urban subtropical garden in the world. The Forest and Fern Gully offers the chance to explore a subtropical misty rainforest in the centre of Brisbane!

Exploring the river
An easy way to explore the Brisbane River is by City Cat. Explore the university grounds at St Lucia, stop off for a XXXX (beer) at the historic Regatta Hotel (where you can smell the hops from the XXXX brewery), and stroll through the Sunday markets at Riverside. Other good stop offs especially for lunch include Bretts Wharf and Bulimba.

Cycle along the river
There is an extensive network of shared cycle and pedestrian paths along both sides of the Brisbane River and elsewhere. This is a great way to see the city skyline and river, and healthy as well! Valet Cycle Hire will drop off your bikes to your Brisbane Boutique Hotel with suggested bike tours. The Brisbane City Council plan to have 150 bike parking stations across the city where bikes can be picked up and dropped off at little or no cost.
